Eight modules on one mission record.
Each department has its own desk, but they all read and write the same record. A change in one place is a change everywhere, and the people it affects are told.
Quotes built from what the flight really costs.
ACMI rates per aircraft type, fuel burn per hour, positioning legs, crew layovers, per diems and airport fees are added up the same way every time. Commercial, Ops and finance all see the same figures.
- Request inbox for client portal, email and phone enquiries
- Quotes go through approval before they're sent
- Fuel worked out from burn per type × block hours × price per litre
- Airport fees researched on request, and you can override them
- Purchase orders, invoices, receipts and client statements
| Line | Basis | USD |
|---|---|---|
| ACMI | 3.4 block h × 880 | 2,992 |
| Fuel uplift | 1,050 L × 1.18 | 1,239 |
| Positioning | 0.6 h × 880 | 528 |
| Crew layover | 1 night × 2 crew | 360 |
| Airport fees | Landing, parking, security | 214 |
| Margin | 18% | 960 |
| Quote total | 6,293 |
The whole fleet's day, on one screen.
Controllers see every tail, every sector and every gap. Feasibility, aircraft allocation and positioning happen where the schedule is, so nothing is planned on a closed field or a booked airframe.
- Aircraft availability with double-booking prevented
- Positioning flights kept inside airport opening hours
- Flight following from departure to block-on
- Mission file: every document for a flight, in order
- Ridge strip closes 17:30: VIP return lands 16:55
- N209TF charter: crew acknowledgment pending (F/O)
- Contract tasking: loads final, check-in closed
See exactly why a flight isn't ready, before it reaches the ramp.
When Ops assign an aircraft and crew, Trailflow checks them against maintenance status, licences, medicals, type ratings, recurrent training and duty. If anything fails, the controller sees every reason, not just a red light.
- Each release has its own permanent serial number, so paper and system always match
- Crew get a calendar invite, the documents and a link to acknowledge
- Cancelling a flight frees the aircraft and crew, and alerts everyone involved
| Crew | Rating | Medical | Recurrent | Duty |
|---|---|---|---|---|
| Capt. A. Moreno | Current | Valid | Valid | 5.2 h slack |
| F/O K. Osei | Current | 9 days | Valid | 1.1 h slack |
| CC J. Duarte | n/a | Valid | DG expired | 6.0 h slack |
- Aircraft: available on the day and not grounded
- Navlog and load sheet for every sector
- Cabin crew: dangerous-goods training expired, replace or renew
Rosters that stay inside the limits.
Duty is counted from report to release, with split-duty credit, and checked against 7-day, 28-day, monthly and yearly limits. Planners see the slack before they roster, not after.
- Published limits built in; you can set stricter 28-day limits, never looser
- Licence, medical, type rating and training expiry alerts
- Out-station rotation board for contract crew
- Leave requests with senior approval and duty-clash checks
| Capt. A. Moreno | 74.0 | |
| Capt. L. Haddad | 62.5 | |
| F/O K. Osei | 91.2 | |
| F/O R. Silva | 48.0 |
- F/O K. Osei: 8.8 h left in 28 days. Avoid long rotations this week
- No crew over 14 h duty in any 24 h
Reports that classify themselves as they're filed.
Flight hazard, general hazard, TCAS and engineering reports are filed from the desk or the field. Occurrences are classified against ICAO Annex 13 thresholds, and the period's reports are compiled into one safety bulletin.
- Initial risk assessment as a PDF
- Airstrip safety reviews with an expiry date, checked at feasibility
- Cabin crew after-mission reports, reviewed by Operations
- Classification: serious incident (Annex 13)
- Reportable to the State: yes
- Initial risk assessment generated
The technical log, carried from page to page.
Engineers keep the technical log, defect register and maintenance programme for each tail. Open defects carry forward until they're closed, and cabin reports that mention a defect missing from the tech log are flagged to Maintenance.
- Check intervals per aircraft type, and the checks done
- Component changes and station stores
- Engineer daily report and a handover of pending items for each tail
Trailflow keeps the operational maintenance record. Operators with a dedicated airworthiness or CAMO system can keep using it alongside.

Every part traceable from order to aircraft.
Parts move from purchase order to goods received to supplier invoice to issue. A part can't be received without its release certificate, and shelf-life items are tracked to the day.
- Senior approval above a value you set
- Parts issued to an aircraft type, or to a specific tail
- Stores at base and at out-stations
| Part | Qty | Certificate | Shelf life |
|---|---|---|---|
| Brake assembly, MLG | 2 | Form 1 attached | n/a |
| Sealant, fuel tank | 4 | CoC attached | Expires 03-2027 |
| O-ring kit | 1 | Missing: can't receive | n/a |
- PO → GRN 1 of 2 received
- Supplier invoice awaiting match
Contract flying, from award to daily tasking.
A contract has its own tail, its own crew rotation and its own minimum guaranteed hours. The client's daily schedule is pasted in, and each day becomes one checked tasking with its own Flight Release.
- Contract progress tracked from feasibility to award to mobilisation
- An aircraft is held only once the contract is awarded
- Hours flown against the minimum guarantee, month by month
- Out-station staff see only their own contract
A management view of the whole operation.
Senior roles see how each tail is used and what each mission earned, without exporting anything. The figures come from the same records the teams work in.
- Utilisation by tail and by activity, including positioning
- Mission P&L and budget against actual
- Cost per flight hour and aircraft economics
